Our Approach

HOW EXACT ESTIMATE WORKS

01

Project Intake & Scope Review

Our team reviews all submitted construction documents, architectural drawings, specifications, and project scope. We identify all trades, divisions, and potential scope gaps before a single measurement is taken.

02

Trade-Assigned Estimator

Each estimate is assigned to the estimator on our team who specializes in the primary trade. This means your HVAC estimate is handled by an HVAC specialist, not a generalist.

Specialist Teams
03

PlanSwift Digital Takeoff

All quantities — linear feet, square footage, cubic yards, and unit counts — are measured digitally using PlanSwift Pro. Precision is built into every number from the first step.

PlanSwift Pro
04

RSMeans Zip Code Pricing

Every line item is priced against RSMeans 2025 cost data for the project's specific zip code. We also consult local vendors and suppliers to validate pricing against real market conditions.

ExactAudit™ QA Review

Our proprietary 3-stage quality assurance process reviews quantities, pricing, and completeness before any estimate leaves our office. No exceptions. No shortcuts.

Proprietary Process
EXACTAUDIT™
3-Stage Quality Assurance

THE PROCESS THAT GUARANTEES 99% ACCURACY

ExactAudit™ is Exact Estimate's proprietary quality assurance framework. Every single estimate — regardless of size or trade — is processed through all three stages before it is delivered to the client. This is not optional. It is our standard.

Accuracy Rate After ExactAudit™
70%
Error Reduction vs Single-Review Estimates
3
Independent Review Stages Per Estimate
0
Estimates Delivered Without Full QA
01

Quantity Verification Stage

All PlanSwift takeoff quantities are independently reviewed by a second senior estimator. Every measurement is cross-checked against the original construction drawings. Any discrepancy greater than 2% triggers a full re-measure before the estimate advances.

02

RSMeans Pricing Validation Stage

Every labor unit cost, material unit cost, and equipment rate is validated against RSMeans 2025 data for the project's specific zip code. Our team also cross-references local vendor pricing to ensure the estimate reflects true market conditions — not theoretical averages. Any line item variance above 5% is flagged, reviewed, and justified before proceeding.

03

Senior Estimator Final Sign-Off

The complete estimate is reviewed by a senior certified estimator for scope completeness, missing items, trade coordination, and overall cost reasonableness against similar project benchmarks. Only after this stage is the estimate approved for delivery. The senior estimator's name and signature are included in the final deliverable — full accountability, always.

Quality & Pricing

EXACTAUDIT™ + ZIP CODE PRICING

Two systems working together to guarantee the most accurate construction cost estimate you have ever received.

Stage 1 — Quantity Verification

All PlanSwift digital takeoff quantities are independently verified by a second senior estimator. Every dimension, area, and count is confirmed against the original construction documents. Discrepancies above 2% trigger a full re-measurement before advancing.

PlanSwift Pro Digital Takeoff

Stage 2 — RSMeans Pricing Validation

Every labor rate, material unit cost, and equipment rate is validated against current RSMeans 2025 data for the project's zip code. We cross-reference local vendor pricing for materials and consult subcontractor networks for labor rates. Variances above 5% are flagged, reviewed, and documented.

RSMeans 2025 Data

Stage 3 — Senior Estimator Sign-Off

A senior certified estimator performs a final completeness review — checking for scope gaps, trade coordination issues, missing alternates, and overall cost reasonableness. The senior estimator's identity and review date are documented in every deliverable.

AACE / ASPE Certified

Local Vendor Verification

Beyond RSMeans data, our team contacts local material suppliers and subcontractors to verify real market pricing for the project location. This additional step is performed at no extra charge on every estimate we produce.

ZIP CODE–
BASED PRICING

Construction costs are not the same across the country — or across the world. A concrete crew in Manhattan charges five times what the same crew charges in rural Mississippi. A framing sub in Vancouver operates under different labor agreements than one in Calgary. At Exact Estimate, we apply RSMeans zip code cost modifiers and local market research to every single estimate so the number you receive reflects what it actually costs to build in your specific location.

RSMeans city cost index applied by zip code for every line item
Union vs open shop labor rate differentiation by region
Local material pricing verified through supplier networks
Metro area adjustments for high-cost markets (NYC, SF, Toronto, London)
All 50 US states, all Canadian provinces, UK regions & Australian states

CEO & Founder — Exact Estimate | Top Rated Construction Cost Estimator

Abdullah M. is a Civil Engineering graduate from UMT with a specialized diploma in Construction Estimation and over 20,000 hours of hands-on experience across the US, Canadian, UK and Australian markets. He built Exact Estimate from the ground up with one goal in mind — giving contractors and developers the kind of accurate reliable cost estimates that actually win bids and protect profit margins.

What separates Abdullah from other estimators is the system he built around his work. The ExactAudit™ process was born out of his obsession with accuracy. He assembled a dedicated QA team that independently rechecks every quantity takeoff and every unit price before any estimate leaves the office. The result is a 99% accuracy rate and a 93% bid-win ratio across thousands of projects delivered to clients on four continents.

He is deeply fluent in OSHA, CCOHS, HSE and WHS standards across all four markets he serves which means the estimates he delivers are not just accurate in cost but aligned with the compliance requirements of each region. His primary tools are PlanSwift Pro, Bluebeam and RSMeans and he has built Exact Estimate's entire workflow around these platforms to ensure digital precision on every single takeoff.

Abdullah specializes in cost estimates and material and labor takeoffs for every major construction trade including Demolition, Site Work, Concrete, Masonry, Roofing, Openings, Flooring, Drywall, Lumber Framing, Painting and MEP. "We have worked with several estimating companies over the years and Exact Estimate stands out from all of them. The level of detail in their takeoffs is something we have not seen from any other firm. Every line item is explained, every quantity is traceable back to the drawings, and every price reflects what we actually pay locally. Their ExactAudit process is not just a marketing term — you can see the quality in the final deliverable."

"Exact Estimate has become our go-to estimating partner for all MEP and structural scopes. We are a mid-size general contractor and we simply do not have the in-house depth to price every trade with the accuracy that winning bids require. Exact Estimate fills that gap. Their turnaround time is fast, their numbers are accurate, and they are always responsive when we have questions. Highly recommended for any contractor serious about growing their bid volume."

"We used Exact Estimate for a 200-unit multifamily development budget that we needed for construction financing. The estimate was detailed enough that our lender accepted it without requesting additional backup. That kind of credibility does not come from a one-page square foot budget — it comes from a firm that actually knows construction costs. We were impressed and have used them on two projects since."

"As a roofing subcontractor, I need estimates that match what I actually pay for materials and what my crews realistically produce in a day. Exact Estimate uses zip code based pricing which means the numbers reflect my local market, not some national average. I have won three commercial roofing bids using their takeoffs this year alone. The investment pays for itself many times over."

"The team at Exact Estimate turned around a full concrete and structural estimate for our commercial project in under 48 hours. The quality was exceptional. Every footing, every slab, every pump charge was itemized separately with clear quantities. Our project manager said it was the most organized estimate we had ever received. We will be using Exact Estimate on every future project."

"I reached out to Exact Estimate for an independent review of a bid we were about to submit on a large drywall and framing package. Their review caught two scope gaps that would have cost us significantly during construction. That single consultation saved us from a loss on a contract we had already committed to. I cannot put a price on that kind of expertise."
